Duties and Functions A-ADMINISTRATIVE ORGANISATION 1. Organize all the company’s filing 2. PreCheck all documents brought to the GM’s approval and decline the non complete ones. 3. Prepare and answer to all correspondence mainly to: Banks or financial partners Shareholders Suppliers Customers Government Lawyers Auditor… 4. Check all telephone lines, telephone bills 5. Control the purchases and negotiate the best terms for: Printing Stationery Telephones Any purchases in relation with the business… 6. Answer on the telephone to all persons calling the management, the operations or the accounting. 7. Coordinate the work between Operations, Management and accounting depts. 8. Handle all problems coming to the management and try to solve them before reporting them to the GM. 9. Create a communication between all different departments and take appropriate actions when needed B-REPORTING The admin asst must group a number of reports to read, control and submit on the desk of the GM on daily, weekly and monthly basis. ADDITIONAL DUTIES A-SALES 1. Prepare offers for corporate customers 2. Answer corporate customers on the phone 3. Follow up customers and offers 4. Prepare and submit bids B-MARKETING 1. Follow up advertising agencies: Deadline, artwork… 2. Follow up and prepare designs as per corporate identity (ALLO RENT) 3. Pre approve printings 4. Follow up brochures, prices… 5. Answer to all marketing offers: advertising, special events… C-RELATION WITH ALLO RENT EUROPE You must also follow up our relation ship with Allo Rent Licensee dept and create a communication with them. You must link of the company with the licensee dept in case we need anything. The main target of the administrative assistant is to take responsibilities within the company and be able to take quick and efficient decisions. She must know how to decide and therefore be ready to take action on a diversified number of issues.
Responsibilities An administrative assistant is supposed to follow up all the administrative duties within the company and centralize all the necessary information to the General Manager It is within her duty to check that all the necessary administrative duties are performed. And follow them up The administrative assistant must perform all jobs related to the daily work within the company and must be able to solve problems that do not need management interference. She must handle all external communications and filter them. In addition to that, it is within her duties to handle sales functions (offers, bids…) She must also organize all the company filing
