| Duties and Functions |
1. Accountabilities
1. Liaises between the Managing Director (MD) and his Direct Reports.
2. Screens and sorts out all incoming / outgoing correspondence and passes these to the Parties involved.
3. Organizes an easy and functional filing system, and keeps all files in order and up-to-date.
4. Follows-up in a timely manner on all correspondence and secures feedback to MD/FD.
5. Processes all drafted materials and ensures they are accurately handled in a timely manner.
6. Ensures consistency in handling MD phone calls and conveying all messages swiftly.
7. Keeps on top of issues to provide MD/FD with needed information, feedback and a summary on various topics and events taking place during his absence, or when required.
8. Follows-up with concerned parties on all reporting requirements to ensure all reports are submitted to MD on time.
9. Arranges appointments for the MD as and when required.
10. Secures ticketing, hotel reservation and all trip arrangements for the MD/FD.
11. Prepares and Handles MD and FD’s Expense Reports.
12. Exercises the highest level of confidentiality in her job.
13. Carries out other assigned routine office functions.
14. Prepares (Power Point) presentations to MD/FD in an efficient and timely manner.
15. Coordinates regional meetings / conferences (Ticketing, Booking, Airport pick-up, Logistics…) when hosted in Lebanon.
16. Takes full responsibility of the conference room, ensuring the schedule of its usage and controlling availability/operational status of machines and stationary.
17. Commits to attendance all time, with the responsibility to secure back-up in case of absence.
18. Issues the company’s quarterly newsletter.
19. Communicates food issues statements to concerned parties and follows on agreed action plans to ensure compliance.

1. Segregates wastes generated from their activities.
